Terms of Service

By booking catering services with Grey Beard's Smoke Shack ("we," "us," or "our"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our services.

Grey Beard's Smoke Shack provides wood-fired BBQ catering services for events throughout Oregon, including but not limited to weddings, corporate events, private parties, and festivals.

• Service Area: We serve Portland, Salem, Eugene, Bend, and surrounding areas in Oregon. Travel fees may apply for locations outside our standard service area.
• Minimum Guest Count: Our catering services require a minimum of 10 guests.
• Menu & Pricing: Pricing ranges from $30-$42 per person depending on the package selected. Final pricing will be confirmed in your invoice.

• Booking Confirmation: Your event is not confirmed until we receive your signed agreement and deposit payment.
• Deposit: A 50% deposit is required to secure your event date. The remaining balance is due prior to or on the day of your event.
• Final Guest Count: The final guest count must be provided at least 7 days before your event. This count will be used for final billing. Reductions made within 7 days of the event may not result in a reduced bill.

• More than 30 days before event: Full deposit refund minus a $100 administrative fee.
• 14-30 days before event: 50% of deposit refunded.
• Less than 14 days before event: Deposit is non-refundable.
• Date Changes: We will make reasonable efforts to accommodate date changes. Date changes are subject to availability and may be treated as a cancellation if we cannot accommodate the new date.

To ensure successful service, the client must provide:

• Adequate space for our cooking equipment and setup (typically 20x20 feet minimum)
• Access to the venue at least 3 hours before the scheduled serving time
• A flat, stable surface for equipment setup
• Access to electricity if required for specific equipment
• Protection from the elements (tent or covered area) for outdoor events if weather is a concern

• Insurance: Grey Beard's Smoke Shack maintains comprehensive general liability insurance for all catering events.
• Food Safety: We follow all applicable food safety regulations and best practices. We are not responsible for allergic reactions if the client fails to inform us of guest allergies in advance.
• Venue Damage: We are not responsible for damage to venue property caused by factors outside our control, including damage from grease, smoke, or heat that is inherent to wood-fired cooking. Clients should discuss setup locations with venue management.
• Limitation of Liability: Our total liability for any claim arising from our services shall not exceed the total amount paid for those services.

In the event of severe weather conditions that make outdoor cooking unsafe or impossible, we will work with you to:

• Reschedule to another available date
• Modify the service if a covered area is available
• Provide a full refund if neither option is feasible

We are not liable for cancellations or modifications due to events beyond our reasonable control, including but not limited to natural disasters, government actions, or public emergencies.

We may take photographs of our food and setup at your event for use in our marketing materials, website, and social media. These photos will focus on food and equipment, not guests. If you prefer that no photos be taken, please inform us in writing before the event.

Grey Beard's Smoke Shack does not provide alcoholic beverages. If alcohol will be served at your event, the client is responsible for obtaining appropriate permits and ensuring responsible service.

We reserve the right to modify these Terms of Service at any time. Changes will be posted on our website with an updated revision date. Your continued use of our services after changes are posted constitutes acceptance of the modified terms.
